   Price it at your size, and at double it

   Work out the monthly price at your unit count today and at twice that. Per-unit pricing, plan steps and per-location charges all move the number as you grow.

   Get the payment fees in writing

   Card and Direct Debit processing sits outside the software fee, and some platforms set their own rates rather than passing on the payment provider’s. Compare each quote with the provider’s published prices.

3. 03

   Price the plan you’d actually need

   If the API, gate control or extra staff logins sit on a higher plan, that plan’s price is your price. Compare the plan you’d use, not the cheapest one.

4. 04

   Check the UK fit

   VAT invoices, Bacs Direct Debit, a storage agreement written as a licence to occupy, and support during UK working hours.

   Plan the exit before you sign

   Ask how your data comes out as well as how it goes in: a full export, in a format you can use, with no exit fee.

   Weigh ratings by how many reviews

   A 4.7 from hundreds of reviews and a 4.7 from a handful are different signals. Read the recent ones, too.

   Check gate and lock control first
