Licences signed online, without the paper chase.
Write your licence once. Customers sign it online, then pay, download invoices and ask to move out from their own account.
Illustration: a customer’s phone showing one signing screen from Your site: the licence in a scroll box, “Before you sign” with two boxes ticked, “I agree to the terms of this licence agreement, and I agree to be bound by it.” and “I confirm I will not store prohibited or dangerous goods.”, the name Jo Carter typed under “Type your full name to sign”, and the Sign agreement button.
How licences and customer accounts work.
Write your licence once.
- Your own wording, with each customer’s name, unit and price filled in for you.
- Change it whenever you like. Licences already signed keep the words they were signed with.
Illustration: a licence’s wording, “This licence to occupy is between Your site and the customer, for a unit at a site. The licence fee is £126.00 a month, including VAT”, with the customer, unit, site and fee shown as fields that fill themselves in.
Signed online, or on paper.
- Customers sign as part of booking online, or from a link you email them.
- Signing is one screen: two boxes to tick, their name to type, and “Sign agreement”.
- If a customer would rather sign on paper, record the paper signature on their agreement, with a scan if you have one.
Illustration: two ways a licence gets signed. An email from Your site, “Your storage licence agreement with Your site — please review and sign”, with a Review and sign button. Over it, the Record paper signature form for Jo Carter, who has already signed a paper licence: what they signed, a place for a scan of the signed paper, and a Record signature button.
A signed record that would show any change.
- Each licence signed on StoreBay is time-stamped by an independent service, so any later change would show.
- A completion certificate is added to the signed copy: who signed, when, and each step from sending to signing.
- The customer is emailed when it’s complete, and can read or download the signed copy in their account.
Illustration: the completion certificate added to a licence signed with Your site. It lists the signatory, Jo Carter, as the occupier, signed on 3 September 2026 at 20:14 UTC; an audit trail of the licence being sent, viewed and signed, each with its time; and the document’s integrity codes.
Customers help themselves.
- Customers get their own account, with your name and colour on it.
- They pay, download invoices and their signed licence, and keep their details up to date.
- They save a card or set up a Direct Debit for future payments.
- And they can ask to move out, choosing the day they’ll leave.

What your customer sees, and what you see.
A customer asks to move out from their account and picks the day they’ll leave. You see “Notice given” on their agreement, the move-out appears on your Home screen, and Home lists it again in the week it’s due.
Illustration: on the left, a customer’s phone asking to move out: the agreement needs 14 days’ notice, the earliest date is 15 October 2026, and the customer has chosen 31 October 2026, with a Request move-out button. On the right, what the operator sees: Jo Carter’s request in Home’s recent activity, and the agreement for Unit 12 marked Notice given, with a move-out date of 31 October 2026.
Emails that go out by themselves, in your name.
- Customers are emailed their licence to sign, a booking confirmation, monthly invoices, receipts and reminders.
- Each email carries your logo and colour, and can come from your own email address.
- Switch off any you don’t want. A few stay on, such as the notice before a Direct Debit is collected.
- Every email sent is on the customer’s record, and you can see when one didn’t get through.
Illustration: the operator’s Customer emails settings, with the agreement and move-in emails listed: the licence to sign is always on, See you tomorrow is switched off, and the others are on. Beside it, the top of an email to Jo in Your site’s own colour, saying their document is signed and complete, with a View your documents button.
Questions about licences and customer accounts.
No. They sign in with a link sent to their email address.
Check the customer’s record, which flags any email that didn’t get through. If one didn’t, copy the signing link and pass it on another way.
Yes. You get a notice in StoreBay when it’s complete, and licences still waiting are listed on your Home screen.
